Terms & Conditions of Entry
1. Introduction
1.1. These Terms & Conditions apply to all submissions to the Summer Exhibition 2026 (“the Exhibition”), administered by The Gallery at Green & Stone (“the Gallery”).
1.2. By submitting work (“the Work”), the artist (“the Artist”) agrees to be bound by these Terms & Conditions.
1.3. Submission of the online entry form constitutes full acceptance of these Terms.
2. Eligibility of Artists
2.1. The Exhibition is open to all artists aged 18+, internationally.
2.2. Third parties (e.g., galleries or agents) may submit on behalf of an Artist only with full authorisation.
2.3. Third parties submitting work accept all liabilities under these Terms.
3. Eligibility of Works
3.1. All media are accepted, including painting, drawing, sculpture, photography, mixed media, original printmaking, and conceptual works.
3.2. Works must:
a. have been created within the last three years;
b. be for sale;
c. be available until 1 October 2026;
d. not exceed 100 cm in any direction, including frames;
e. not have been exhibited in a London gallery within the past three years.
3.3. Only original prints are accepted.
An original print is a hand-made artwork created by the Artist using traditional printmaking techniques (e.g., etching, lithography, screen printing, woodcut, linocut, monotype). Each impression must be part of a limited, numbered edition.
Reproduction prints (e.g., Giclée prints) are not accepted.
3.4. Photography is accepted.
3.5. Size is judged on exterior frame size for 2D works and longest dimension for 3D works.
4. Submission Process
4.1. All submissions must be made online via the Summer Exhibition Portal.
4.2. Portal opens: 16 March 2026
4.3. Portal closes: 8 June 2026 at 12:00 noon (no late entries).
4.4. No changes can be made after submission.
4.5. Selection announced: 15 June 2026 (via online portal login).
4.6. Artists must not submit if they cannot meet the delivery and collection dates. Entry fees are non-refundable.
4.7. All communication will be through email or the online portal. Artists are responsible for checking their selection status.
4.8. Selected artists must download and bring their submission documentation at delivery.
5. Photography Requirements
5.1. Works must be photographed in natural light, on a light background, with all edges visible.
Where possible, the background should be removed or minimised in the JPEG.
5.2. Images submitted will be used for the online catalogue; quality must accurately represent the Work.
5.3. Low-quality or misleading photographs may result in disqualification.
5.4. Any editing that alters the appearance of the Work (colour manipulation, distortion, removal/addition of elements) will result in disqualification.
Basic adjustments such as cropping, straightening, or exposure correction are permitted.
6. Selection Process
6.1. Selection occurs in one stage and is conducted online.
6.2. All decisions are made at the Gallery’s sole discretion.
6.3. Judging is anonymous; no segregation by style, medium, nationality, or genre.
6.4. No feedback will be provided.
7. Framing and Presentation
7.1. Selected Artists must provide an image of:
a. the final frame; or
b. a comparable previously framed work; or
c. a reference image of intended framing.
7.2. All 2D Works must be framed for delivery.
7.3. Frames must be simple: white, black, or light oak.
7.4. Mounts must be plain white or off-white (not cream).
7.5. Clip frames, metal frames, diffused glass, and glazing with exposed edges are prohibited.
7.6. Works must be exhibition-ready with hanging fixtures: D-rings and wire only (no mirror plates).
7.7. Artists are strongly advised to insure their works for full market value.
7.8. The Gallery may reframe non-compliant works at the Artist’s expense following notification.
8. Delivery of Works
8.1. Delivery dates: 10–12 July 2026 (only).
8.2. Works must be delivered unwrapped, with all forms and labels attached.
8.3. All works are delivered, displayed, and stored at the Artist’s sole risk.
8.4. Artists may be asked to provide card details (Card Number, Expiry Date, CVV) solely to cover external storage costs should a work remain uncollected. No other charges will be made.
9. Collection of Works
9.1. Collection dates will be published on the Gallery’s website and are the only dates for collection.
9.2. Uncollected works will be transferred to independent storage at the Artist’s cost.
9.3. The Gallery provides no warranty regarding third-party storage charges.
9.4. Works uncollected after 3 months may be destroyed, sold, or otherwise disposed of without notice or compensation.
10. Pricing and Commission
10.1. All selected works must be for sale.
10.2. Prices must include:
a. the Gallery’s 35% commission;
b. any applicable VAT;
c. framing costs.
10.3. Commission applies to all sales made before, during, or as a result of the Exhibition, including private sales.
10.4. Catalogue prices are final and can only be changed with written approval.
10.5. The Gallery may query pricing.
11. Intellectual Property Rights
11.1. By submitting a Work, the Artist confirms they hold all rights necessary for exhibition, sale, and reproduction.
11.2. Artists must disclose third-party rights in writing.
11.3. The Artist indemnifies the Gallery against any claims relating to ownership or intellectual property.
11.4. The Gallery may reproduce images of selected Works for:
a. promotion and marketing;
b. press and publicity;
c. educational purposes;
d. printed and digital materials;
e. any media now known or later developed.
12. Liability
12.1. Artists confirm that the Work is fit for handling and display.
12.2. The Gallery accepts no responsibility for loss or damage to Works, however caused.
12.3. Artists submitting works from abroad are responsible for all import taxes, duties, and charges and must not list the Gallery as importer.
13. Personal Data
13.1. Personal data will be processed in accordance with GDPR for administration of the Exhibition.
13.2. Unless the Artist opts out in writing, the Gallery may share contact details with parties interested in purchasing or commissioning work.
14. Refusal, Withdrawal, Disqualification
14.1. The Gallery may refuse or withdraw any Work at its discretion.
14.2. Works may be withdrawn if they pose reputational, legal, or safety concerns.
14.3. Failure to comply with these Terms may result in disqualification without refund.
15. Agreement
Submitting an entry to the Summer Exhibition constitutes unreserved acceptance of all Terms & Conditions outlined above.
